Fred. Olsen introduces Microsoft Dynamics™ NAV* accounting solution

Fred. Olsen, the Ipswich based shipping business, has introduced Microsoft Dynamics™ NAV to manage the groups accounting function.

Fred. Olsen is a family owned group of shipping and related businesses founded in Norway in 1848. The group’s United Kingdom activities include air transport, freight forwarding, import and export brokerage, liner agencies, passenger cruises, road transport, shipbuilding and travel agencies. There are sixteen UK offices, as well as support from offices in Athens and Rotterdam, which are managed and administered from an office in Ipswich.

Fred. Olsen is a diversified company, so finding an accounting system that meets their needs was difficult to achieve. They have now created a platform with Microsoft Dynamics™ NAV (formerly known as Microsoft® Business Solutions-Navision®) that meets the needs of all existing companies, as well as any additional business needs, for the next ten years.

“Users took to Microsoft Dynamics™ NAV under Windows very easily, although it was a culture shock after a character-based system”, says Richard Chilvers, Director, IT. “We did all training in-house, so it was effective and relevant to our environment”. Each department has a super-user to provide support and route difficult problems to the systems support person. Ninety nine per cent of problems are solved in-house.

“Microsoft Dynamics™ NAV is intuitive to use and very logical,” says Peter Deer, Financial Controller. “Accountants can use it after initial training or just reading the manual. Actually using it and posting transactions is simple and obvious”.

“The main benefit from Microsoft Dynamics™ NAV is using more efficient, effective and smoother electronic business processes to eliminate paper-based procedures,” say Deer, “saving paper, postage and time spent filing. Data entry is now more productive with the ability to enter data directly into the accounts system, rather than hand writing journals. The look of the screens and the way information can be organised is important. For instance, users can design the layout of their own screens based on their individual requirements”.

“The other major benefit is ease of access to information”, he continues, “although you need to learn to use the filters and understand the data in each table. Also, because Microsoft Dynamics™ NAV is easy to use, new starters get up to speed more quickly.”

“We are very happy with Microsoft Dynamics™ NAV’ integration with other products, such as fax and document imaging,” says Chilvers. “It is cost effective and the cost per user is low because we are using our existing IT infrastructure. Microsoft Dynamics™ NAV is flexible for development. It is also adaptable. We knew all our businesses had different requirements and Microsoft Dynamics™ NAV has accommodated them all to date.”
